Passenger List
For safety and security reasons, Amtrak requires the first and last names of all adults and students/children traveling with the group. After you have received your reservation number, please submit your passenger list to Amtrak via email or FAX before purchasing your tickets. If you need to make a substitution to the list, please contact Amtrak. Amtrak must be notified of the change prior to departure. There must be at least one adult chaperone for every six children. Any changes made to the original list must comply with this student-to-chaperone ratio.

If the change occurs the morning of the travel date, notify Amtrak and inform the Conductor as well.

Station Arrival
Please call 1-800-USA-RAIL or check online prior to leaving for the train station to make sure your train is on schedule.

Plan to arrive at the train station at least 30 minutes before your scheduled train departure. Your group will need to be ready to board as soon as the train pulls into the station. Some station stops are as little as two minutes. The trains cannot wait for late arriving groups or individuals.

We want you and your group to have fun and be safe! Please help us continue to offer this program by reviewing these rules with the adult chaperones in your group and providing each of them with a copy of these guidelines.

  • Present your ticket to the station staff or conductor.
  • At staffed stations, identify yourself to the station staff to confirm boarding instructions.
  • Identify your group to the conductor and follow their seating instructions. During your trip, feel free to contact onboard personnel for assistance.
  • Watch your step when boarding and leaving the train. Use seat backs and handrails while walking through the train.
  • Please stand back from the edge of the platform and be careful when crossing the gap between the train and platform.
  • Group leaders and designated chaperones are responsible for the conduct and supervision of their group at all times during the field trip.
  • Please remind your students to be considerate of the other passengers. Amtrak personnel cannot assist in the supervision of your group.
  • Only 6 students from your group are allowed in the Bistro and Lounge car at one time and, regardless of their ages, must be accompanied by a chaperone at all times.
  • Please use the trash and recycle bins and keep the area around your group clean and free of debris. Amtrak staff will provide extra trash bags for you to pick up your area before your group arrives at your destination.
  • When your group exits the train, follow the conductor's instructions.
  • Appoint one or two people to follow behind the group to check the seating areas and overhead bins for any items that may have been left behind.

Activities and Transportation
The Schools on Trains program provides passenger rail service only. School groups are responsible for making their own arrangements for activities and transportation in their destination cities.

Payment and ticket Information
Amtrak will accept a single credit card, check, or money order for payment. (Purchase orders will not be accepted.)

You may request tickets be sent via Federal Express (for an additional $12 fee) or purchase tickets at your nearest staffed Amtrak station. You will not be allowed on the train without your ticket. Contact Amtrak immediately if you have not received your ticket one week prior to the trip.

Payment for tickets must be received at least 14 days prior to travel date. If payment is not received at least 14 days prior to travel date, your reservation will automatically be cancelled. Once payment is received, no changes can be made to: date of travel, train, or number of passengers. Tickets will not be issued if the complete Passenger List has not been submitted to Amtrak via email or FAX..

Lost, Stolen, Forgotten Ticket
If your tickets are lost or stolen, contact Amtrak as soon as possible.

Cancellation Policy
Due to special arrangements and discounts that allow the Schools on Trains program to operate, Amtrak cannot issue a refund once payment is made.

Service Disruptions and Mudslides
In the event of an unexpected service disruption (e.g., mudslide over tracks, emergency track repairs), Amtrak provides chartered bus service between train stations. An Amtrak representative will try to contact you as soon as disruption information becomes available. You will have three options to choose:

  1. Continue with your trip on the bus
  2. Reschedule your trip if alternative dates are available
  3. Cancel your trip entirely and receive a full refund

When planning your trip, please allow additional time for:

  • changes in the weather
  • train delays
  • transportation connections between the station and your destination
